Under the Spire Music Festival offers a summer long series of concerts in a magnificent heritage church set within sight of beautiful Malpeque Bay. The Festival provides audiences with the very best in folk, jazz, blues, classical, traditional, choral and contemporary music all in the world class acoustical setting of Historic St. Mary’s. Events Coordinator
Reports to: Executive Director
Position Type: Full-Time, May/June-September/October
Hourly: $20

The Events Coordinator is an integral part of the organization’s management team and is responsible for all logistical aspects of Under the Spire Music Festival. Working across multiple departments, the ideal candidate is an energetic professional who doesn’t mind wearing multiple hats. Reporting to the Executive Director, we are looking for an experienced individual in handling a wide range of event and administrative tasks who will be able to work independently with little or no supervision. The ideal candidate will have a high level of organization in their work scope. This person also has a passion for the arts, community engagement, and has experience working with non-profit organizations and events.
This is a full-time position (40 hours a week) from May/June to September/October. Must be able to work select evenings and weekends May to September. The work schedule is flexible and will allow for hybrid work options outside of the Festival’s event schedule.
Duties/Responsibilities
- Assist with the planning, coordination, and execution of all USMF events including helping with some rentals;
- Act as the staff lead on all festival and event logistics, artist hospitality, artist relations, transportation, accommodations etc.;
- Support and oversee support staff and volunteers including recruitment, orientation and training;
- Communicate with the Box Office Manager to maintain ticketing, box office operations and reporting for all events of the Under the Spire Music Festival;
- Maintain accurate box office accounting records and archives;
- Effectively communicate with varied stakeholders regarding event logistics, providing high-quality customer service and troubleshooting as necessary;
- Commitment to compliance with all insurance, legal, health, and safety obligations for the events of the organization including the outdoor pavilion; and,
- Provide support in various administrative tasks including assisting in preparing final reports, assist in marketing and communications and general accounting tasks in support of the Association’s Bookkeeper
You are:
- An experienced event planner with minimum 2 years’ experience managing staff, volunteers, or in a leadership role;
- Proficient in detail-oriented project management, working independently to manage multiple projects at once;
- Able to provide leadership and demonstrate motivational and team building skills;
- An effective communicator able to work with various stakeholders;
- Able to work under pressure to meet strict deadlines;
- Able to work weekends and evenings (as communicated in advance);
- Someone with a general understanding of technology and information management systems;
- Committed to building community relationships; and,
- Above all, a music lover!

Box Office Coordinator

We’re seeking a seasonal Box Office Coordinator who is interested in pursuing a career in arts and culture. The position will provide the opportunity to gain an understanding of arts, event and venue management. Our box office is located in Historic St. Mary’s Church, 1374 Hamilton Road, Indian River and box office hours are normally 12pm-5pm daily and 1 hour prior to showtimes.
This is a full-time position (40 hours a week) from May/June to September/October with the option to pursue longer-term employment after the initial contract. Must be able to work select evenings and weekends May to September. The work schedule is flexible and will allow for hybrid work options outside of the Festival’s event schedule. Under the direction of the Executive Director and supervision of the Office Manager, duties of the Box Office Coordinator will include (but is not limited to):
- Lead a small team of box office attendants and volunteers;
- Support and oversee support staff and volunteers including recruitment, orientation and training;
- Manage all tasks related to ticket sales including processing ticket orders from online/phone/walk-in sales, organizing and maintaining ticketing files, maintaining printed tickets records and reports, balancing all sales;
- Liaise with office staff re: coordination of tickets, sponsor ticket requirements, media, benefactors and VIP ticketing, etc;
- Manage ticket reconciliation at the box office and work with the office bookkeeper;
- Manage tasks as required to assist in the execution of the 2023 concerts and the smooth operation of all Box Office equipment and physical office surroundings;
- Assist in box office report writing;
- Become familiar with all upcoming events at the Festival including the artists and types of music being performed;
- Daily reception and customer service – monitor and handle customer inquiries through mail, email, telephone and in-person;
- Provide onsite event support assistance as required for concerts and events;
- Become familiar with tools and equipment for the position (Ticketpro and ticket printer, google drive, etc);
- Assist with various marketing tasks including social media updates, PSAs, and monthly ENewsletters under the supervision of the Executive Director;
- Complete daily cleaning, stocking and organizational tasks; and,
- All other tasks as required to assist the Events and Concert Coordinator in the execution of 2023 concerts/events and the smooth operation of all office equipment and physical office surroundings.
You are:
- Familiar with ticketing systems (ShowPass) OR comfortable with similar systems;
- A fast learner, and comfortable working independently or with others;
- Familiar with google docs, dropbox and/ or other shared document platforms;
- Friendly, professional, and comfortable working with the public in a fast paced environment;
- Comfortable working with the public and embracing a “salesperson” attitude;
- Available to work at all Under the Spire Music Festival events and concerts between June 10th and September 10th, 2023; and,
- Above all, a music lover!
The rate of pay is $19/hour. This job will be made possible due to government funding and the eligibility requirements are:
- You must be a Canadian Citizen or permanent resident.
- You must be returning to school in the fall of 2022

Box Office/Show Attendants

We’re seeking 2-3 seasonal Box Office/Show Attendants who are interested in exploring a career in arts and culture. The position will provide the opportunity to gain an understanding of running an arts organization. Our box office is located in Historic St. Mary’s Church, 1374 Hamilton Road, Indian River and box office hours are normally 12pm-5pm daily and 1 hour prior to showtimes. - Assist with social media updates, PSAs, monthly ENewsletters as necessary by the Executive Director/Box Office Coordinator.
- Complete daily cleaning, stocking and organizational tasks.
- All other tasks as required to assist Box Office Coordinator in the execution of the 2022 concerts/ events and the smooth operation of all office equipment and physical office surroundings.
You are:
- A fast learner, and comfortable working independently or with others;
- Familiar with google docs, dropbox and/ or other shared document platforms;
- Strong with Social Media, and have an interest in learning more about marketing and communications;
- Friendly, professional, and comfortable working with the public in a fast paced environment;

These are student position, funded by Canada Summer Jobs and pays $16/hour. The eligibility requirements are:
- You must be between 18-30 years of age at the start of employment
